Los Angeles Unified School District (LAUSD)
Challenges:
The Los Angeles Unified School District (LAUSD) is one of the largest school districts in the nation. The New Facilities group manages the construction of over 350 schools, and needs to manage these projects in an accurate and timely manner.
They use Primavera Contract Manager to manage these projects, and their financial system is a custom application, unique to the district. Yet LAUSD needed to ensure that data between the two systems matched, without requiring laborious and error-prone dual entry. They also wanted to be able to manage cost codes in a consistent manner across all projects, and to have the ability to create custom, web-based reports as needed.
Our Solution:
In 2004 LAUSD asked Partners Consulting to help them meet their goals. We first met with the stakeholders to determine their needs and make sure that all stakeholders shared a common vision. We then worked with the IT group to understand the financial system so that we could create new "system connectors" specific to this application.
We then used our existing integration framework along with the new connector to create a set of integrations, web applications, and reports specifically for LAUSD.
Cost Code Application - this is a web-based program that allows LAUSD to rename cost codes across multiple projects.
Web Reports - We provided a set of tools so that LAUSD could create its own custom reports in a web-based interface.
Integrations - Data is integrated between systems, including: Vendors, Commitments, Cost Codes, Actual Costs, Funding, and Estimate to Complete.
Results:
The application has saved LAUSD an enormous amount of time. For example, the process of creating baselines once took 4 hours of tedious typing. Now it happens in under 15 minutes. Furthermore, baselines are automatically named consistently, and it is easy to make sure that baselines are assigned properly. Now the Project Schedulers can concentrate on making sure that the projects are delivered on schedule.
